The successful candidate will be responsible for supporting the Manager of the Project Management Office in contract compliance as well as auditing project management procedures and results. The candidate requires an in depth understanding of contract language, general terms and conditions and agreements, in particular as they relate to intellectual property, risk, indemnification and liability. The candidate must be comfortable working with an ERP system for project management and reporting.
a) Contract Administration
Ø Ensure proper templates are in place for all types of contracts, subcontracts, and agreements.
Ø Review general terms and conditions with clients, sub-consultants and vendors.
Ø Review and understand the legalities of contracts and make recommendations which are in the best interest of BESTECH.
Ø Administer the contractual execution of projects.
Ø Support a team of Project Managers for overall life-cycle of multi-disciplinary projects (e.g. preparation, monitoring and execution of project plans, reports, client invoice review and tracking, etc.).
Ø Interfaces with other groups inside and outside the organization such as Division and Project Managers, clients and vendors.
Ø Ability to apply knowledge of internal policies and procedures.
b) Project Management Office Assistant
Ø Ensure that proper logs are maintained on correspondence, change requests, back charges, contract amendments and notices.
Ø Analyze and report gross margin analysis and other KPI’s by product and service projects.
Ø Knowledgeable in cost and revenue accruals and deferrals.
Ø Involved in ensuring project compliance with all contract terms and conditions.
Ø Coordinate project documentation as required.
Ø Generate project reports and review with Project Managers ensuring accuracy of data.
Ø Assist with gathering and submitting documentation for client pre-qualifications.
Ø Assist in preparing proposals by gathering supporting documents such as company profile, resumes, work history, etc….
Ø Assist with project closure process.
c) ERP Management
Ø Ensure projects are set up properly in the ERP by team members.
Ø Ensure project plans are setup in the ERP by team members.
Ø Run reports in the ERP to verify status of projects.
Ø Update rate tables as required.
Ø Perform projects transfers in ERP
Essential Job Requirements and Experience
Ø Degree / diploma in Engineering, Law, or Business Administration.
Ø A minimum of 3-5 years of experience.
Ø Keen attention to detail.
Ø Proficient in contract language.
Ø Familiarity with accounting and project management software in an ERP environment, such as Deltek Vision or MS Dynamics AX 2012.
Ø Advanced MS Excel and MS Project skills.
Ø Experience working with a portfolio of multiple jobs or clients in a project based environment.
Ø Ability to understand clauses related to intellectual property, risk, liability, and indemnification.
Ø A willingness to learn new skills and work both independently and in a team environment.
Ø Ability to work under pressure and within strict time constraints.
Ø Strong interpersonal communication (both written and oral) skills.
